How to replace a lost birth certificate in Kenya

It is required when applying for a national ID, passport, school admission, and even for some jobs. The good news is that the Kenyan government provides a clear process for replacing it through the Civil Registration Services and Huduma Centres.
The process is designed to be accessible either online via the eCitizen platform or physically at a Huduma Centre or Civil Registration office, depending on your circumstances.
Here are the steps to follow after losing your birth certificate.
- Step 1: Report the loss
The first requirement is usually a Police Abstract confirming that the document has been lost.
This helps prevent misuse of your details and is often required during the application.
- Step 2: Gather required documents
You will typically need a national ID or passport if you are 18 years and above, a birth notification if available, and a copy of the lost birth certificate if available.
During the replacement process, you will also be required to have your parents’ identification documents, as well as other supporting documents for amendments where applicable.
If you do not have key details like a birth notification or entry number, you may be required to visit the Civil Registration office in your county of birth for manual record retrieval.
- Step 3: Apply via eCitizen or Huduma Centre
You can apply in two main ways: online or physically.
For the online application, applicants log into the eCitizen portal, select Civil Registration Services, and choose “Replacement of Birth Certificate”. Then fill in your personal details, upload the required documents, make the necessary payment, and select a preferred collection point such as a Huduma Centre.
Alternatively, for physical application, you can visit a Huduma Centre or Civil Registration office in your County, submit your documents, and fill in the required forms for manual processing.
- Step 4: Pay the required fee
Pay the applicable government fee.
- Step 5: Processing and collection
Once submitted, the application is processed by the Civil Registration Services. Processing time varies, but in most cases it takes about 7 to 14 working days, though it may take longer if manual record searches are required.
Replacing a lost birth certificate in Kenya is no longer as complicated as it used to be. With digital systems and Huduma Centres, the process is more structured and accessible. However, the accuracy of your details and having supporting documents can significantly speed up the process.
