KUCCPS admission guide: Step-by-step process and required documents for 2026
By Ascah Mwango, January 13, 2026As Kenya’s universities, colleges, and technical institutions prepare to admit new students, understanding the Kenya Universities and Colleges Central Placement Service (KUCCPS) admission process is more important. KUCCPS manages the placement of students based on their KCSE results, course preferences, and available slots in higher education institutions across the country.
Missing any step or failing to submit the required documents can lead to delays or even losing a placement. To help students navigate this critical process, we provide a detailed, step-by-step guide on how to apply, track your application, and secure admission.
1. Accessing the KUCCPS portal
The first step is visiting the official KUCCPS website. From there, students should access the Students’ Portal to begin the application process. The portal is the central platform for all course applications, revisions, and tracking of admission status.
2. Logging in to the student portal
To log in, students need their KCSE Index Number, the year they sat for KCSE, and a password. The password is usually the KCPE Index Number or the Birth Certificate Number used during KNEC registration. Once logged in, students gain access to their personal dashboard and application tools.
3. Updating contact details
Before proceeding with course selection, students must confirm their phone numbers and email addresses. These contacts are critical, as KUCCPS will use them for all communication regarding placement and admission updates.
4. Reviewing your dashboard and eligibility
Once logged in, students should review their dashboard for accuracy. The portal displays KCSE results and, for degree applicants, the automatically calculated Weighted Cluster Points (WCP). A WCP of zero indicates missing mandatory subjects, which may affect eligibility for certain courses.
5. Exploring programmes and institutions
Students can browse available courses through the “Institutions” or “Programmes” menus. Courses are grouped by qualification level:
- Degree Programmes
- Diploma (Level 6)
- Craft Certificate (Level 5)
- Artisan Certificate (Level 4)
It is important to review each course’s minimum mean grade, subject requirements, previous cut-off points, fees, and the institutions offering the programme before making a choice.
6. Selecting courses correctly
Degree applicants must follow KUCCPS rules when selecting courses. For example, the first three choices (1a, 1b, 1c) should be similar programmes offered in different institutions. Subsequent choices (2, 3, 4) allow for alternative options. Other levels allow four choices per category.
Students can also use the optional Course Basket to shortlist programmes for comparison before final submission. However, adding courses to the basket does not count as a formal application.
7. Submitting applications and paying fees
Once courses are selected, students enter the 7-character programme codes in order of preference and submit their applications via the portal. An application fee must then be paid through available platforms, including M-PESA, KCB, RTGS, or Airtel Money.
For M-PESA payments, students should use Business Number 222222 along with the system-generated account number. Using a transaction code instead will not complete the payment.
8. Confirming submission and making revisions
After submission, students should check the Dashboard or Application History to confirm that their application was successfully submitted. KUCCPS allows revisions and deletions of programme choices before the application deadline. This flexibility ensures students can adjust their options based on new information or preferences.
9. Understanding funding options
Government funding applies to public universities and TVET institutions under the Ministry of Education. Private universities, Teachers Training Colleges (TTCs), KMTC, and diploma courses in public universities are not government-funded. Students in these programmes can explore alternative funding options, such as HELB loans or private sponsorship.
10. Reporting to institutions
Finally, after receiving placement letters from KUCCPS, students must report to their allocated institutions on the specified dates with all required documents. Timely reporting ensures a smooth transition into higher education without risking loss of placement.
