How long it takes to get KNEC certification letter and process involved

Replacing a lost Kenya National Examination Council certificate is not possible, according to the council’s own guidelines.

Instead, Kenyans who lose their Kenya National Examination Council (KNEC) certificates are issued a Certification Letter, an official document that confirms their examination results.

The Certification Letter is often required when applying for jobs, joining colleges, pursuing professional registration or verifying academic qualifications.

Because original certificates cannot be reissued, many candidates want to know how long it takes to obtain this important document after submitting an application.

KNEC does not replace lost certificates

Many Kenyans assume that a duplicate Kenya National Examination Council certificate can be issued when the original is lost, damaged or destroyed.

However, the council has clarified that lost certificates are not replaced.

Instead, applicants can request a Certification Letter through the Kenya National Examination Council Query Management Information System, commonly known as QMIS.

According to the council, applicants must have a copy of the original certificate or result slip when applying for a Certification Letter.

How to apply for a KNEC certification letter

Applicants are required to register an account through the Kenya National Examination Council QMIS portal and submit the required information.

The application process requires the following documents:

  • Copy of the lost certificate or result slip
  • National identity card copy
  • Passport-sized photograph
  • Police abstract
  • Confirmation from the Registrar of Persons

After uploading the documents and submitting the application, the system verifies the information before generating payment instructions.

Applicants are then required to pay Ksh5,220 before processing can continue.

How long does the process take?

The Kenya National Examination Council does not specify a fixed number of days for processing a Certification Letter.

Instead, processing time depends on several factors, including the accuracy of the information submitted, the completeness of supporting documents and the volume of applications being handled at the time.

Applicants are advised to regularly check their application status through the QMIS portal after payment has been made.

The council sends SMS notifications at different stages of the process, including when payment is required and when the Certification Letter is ready for collection.

What can delay a certification letter application?

Several issues can slow down the process.

Missing documents, incorrect examination details, wrong index numbers or incomplete identity verification can all result in delays.

Applicants should ensure all supporting documents are uploaded correctly before submitting their request.

The Kenya National Examination Council says candidates who do not have a copy of the original certificate or result slip can instead apply for a Statement of Results.

Unlike a Certification Letter, a Statement of Results is issued on a need basis and is sent directly to the institution requesting verification of examination results.

This option can be useful when an employer, college or organisation needs official confirmation of a candidate’s academic qualifications.

Why is it important to keep copies

Since the Kenya National Examination Council does not issue replacement certificates, candidates are encouraged to keep photocopies and digital copies of their academic documents in a secure location.

Having copies available can make it easier and faster to apply for a Certification Letter if the original certificate is ever lost.
