Step-by-step guide: How to apply for Schengen visa

A Schengen visa is a short-stay visa that allows you to travel freely within the 27 European countries that comprise the Schengen Area.
With this visa, you can visit any of the participating countries, including France, Germany, Italy, or the Netherlands, for up to 90 days within 180 days for tourism, business, visiting family, or attending short courses.

For Kenyans planning to visit Europe, obtaining a Schengen visa can seem daunting, but the process is straightforward if you prepare in advance and follow the correct steps.
Here’s a comprehensive guide on how to apply for a Schengen visa in Kenya.
Decide where to apply
The first step is determining which embassy or consulate you should apply to.
- If you plan to visit only one Schengen country, apply at the embassy of that country in Nairobi.
- If you plan to visit several Schengen countries, apply to the embassy of the country where you will spend the most time.
- If you plan to spend equal time in multiple countries, apply to the embassy of the country you will enter first.
Some Schengen countries in Kenya utilise visa application centres, such as VFS Global or TLScontact, to receive applications on their behalf. Therefore, please check the specific country’s requirements before proceeding.
Choose the right visa type
Depending on your reason for travel, you’ll need to select the appropriate visa category. The main types include:
- Tourist Visa: For leisure travel or sightseeing.
- Business Visa: For work-related meetings, conferences, or trade visits.
- Visit Visa: For visiting relatives or friends living in the Schengen area.
- Student or Training Visa: For short courses or study programmes.
- Transit Visa: For travellers passing through a Schengen country en route to another destination.
Choosing the right type ensures you provide the correct documents and justification for your trip.

Gather the required documents
Each Schengen embassy has specific requirements, but generally, you’ll need the following:
- A valid Kenyan passport, issued within the last 10 years and valid for at least 3 months beyond your return date.
- Two recent passport-sized photos, taken on a white background.
- Completed and signed visa application form, available online or at the application center.
- Travel insurance covering at least €30,000 (about Ksh4.3 million) for medical emergencies or repatriation.
- Proof of accommodation, such as hotel bookings, invitation letters, or rental agreements.
- Round-trip flight reservation or detailed travel itinerary.
- Proof of financial means, such as bank statements for the past three months, showing you can afford your stay.
- Visa application fee, usually €80 (about Ksh11,500), paid in cash or electronically at the center.
Additional documents, such as employment letters, school admission letters, or invitation letters, may be required depending on the visa category.

Book and attend visa appointment
Once you have all your documents ready, book an appointment with the respective embassy or application center. During the appointment:
- Submit your documents.
- Provide biometric data (fingerprints and a digital photo).
- Attend a short interview where you may be asked about your travel plans, purpose, and financial stability.
Please arrive early and bring both originals and photocopies of your documents.
Wait for processing
After submission, your application will be reviewed by the embassy. Processing typically takes 15 to 30 days; however, it’s recommended to apply at least one month before your intended travel date. You can track your application online through the VFS Global or TLScontact portal, depending on where you applied.
If approved, you’ll receive a visa sticker affixed to your passport. The sticker will indicate your travel dates and whether you have a single-entry or multiple-entry visa.
Travel tips for Kenyan applicants
- Always ensure your passport and travel insurance meet Schengen requirements.
- Carry copies of your visa approval and travel itinerary while in Europe.
- If you’re a frequent traveler, consider applying for a multiple-entry Schengen visa.
